Information we collect
When you request a quote
The quote form asks for your name, phone number, email address, the property postcode, the property type, the service you need and any extra details you choose to add. We also record the page you sent the form from and, if you arrived from one of our adverts or a tracked link, the advert click reference and campaign details in the link. A hidden field is used to filter out automated spam.
When you call or email us
We keep the details you give us so that we can quote, book and carry out the work: usually your name, contact details, the property address and information about the building.
When you use the website
Our hosting provider records standard technical information (such as IP address, browser type and the pages requested) to keep the site secure and working. If you accept analytics and advertising cookies, we also collect information about how you use the site and whether you arrived from one of our adverts. See our cookie policy.
How and why we use it
| Purpose | Lawful basis |
|---|---|
| Replying to your enquiry and preparing a quote | Steps taken at your request before entering into a contract, and our legitimate interest in responding to enquiries |
| Booking and carrying out assessments, inspections, servicing or remedial works | Performance of a contract |
| Keeping records of work carried out and invoices | Legal obligation (tax and accounting) and our legitimate interest in defending claims |
| Measuring how the website is used and which adverts lead to enquiries | Your consent, given through the cookie banner |
| Recording which advert or campaign an enquiry came from, so we can tell Google Ads which adverts led to work | Our legitimate interest in understanding which advertising works |
| Measuring advert conversions with Google Ads, including enhanced conversions (see below) | Your consent, given through the cookie banner |
| Keeping the website secure and preventing spam | Our legitimate interest in running a secure website |
We do not sell your information, and we do not use it for unrelated marketing.
Enhanced conversions
If you have accepted advertising cookies and you submit the quote form, the email address and phone number you entered may be converted into a one-way hashed code in your browser and shared with Google, so that Google Ads can tell us which adverts led to enquiries without us seeing your Google account. Google matches the hashed code against signed-in Google accounts and does not receive your details in readable form. If you reject advertising cookies, this does not happen.
Who we share it with
We use these service providers, who process information on our behalf and only on our instructions:
- Vercel Inc.: website hosting and the server that receives the quote form.
- Resend: delivering quote form submissions to our inbox by email.
- Supabase: a secure database (hosted in the EU, Ireland) where quote form submissions are stored so we can follow them up.
- Our email provider: storing the emails we send and receive.
- Google (Google Tag Manager, Google Analytics 4 and Google Ads): website analytics and advertising measurement, only if you give consent.
Where we need to, we may also share information with the fire risk assessors, engineers and contractors in our network who carry out the work you have booked, with our professional advisers and insurers, or where the law requires it.
Transfers outside the UK
Some of these providers process data in the United States or elsewhere outside the UK. Where they do, the transfer is covered by a recognised safeguard, such as the UK Extension to the EU–US Data Privacy Framework or the UK International Data Transfer Addendum to the standard contractual clauses.
How long we keep it
- Enquiries that do not lead to work: deleted within 24 months of our last contact.
- Records of work carried out, reports and invoices: kept for 6 years after the work, so that we can meet tax obligations and deal with any claims.
- Google Analytics data: kept for 14 months.
Your rights
You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, and to ask for it to be transferred to someone else. Where we rely on consent, you can withdraw it at any time; for cookies, use the cookie settings link in the footer. To exercise any of these rights, contact us at hello@tntfiresafety.co.uk or 020 8066 2499.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint, 0303 123 1113. We would appreciate the chance to deal with your concern first.
